SFE WORKING GUIDES / OPERATIONS

A simple stock-count routine for a small store

Stock records become useful when the same identifier follows an item through receiving, storage and issue. Similar descriptions are not enough when sizes or models differ.

Set up the record

Assign a SKU and location to each item. Record an opening count on a known date, then capture every receipt and issue with its reference. Agree the unit of measure before entering quantities.

Use it in the workflow

Count a manageable selection of items regularly. Compare the physical count with your own calculated balance and investigate discrepancies before changing the records. Do not overwrite history to make a count appear to match.

Review and maintain

Use the movement log to explain changes and the stock register to plan the next count. These CSVs have no formulas, barcode integration or automatic stock deductions; a larger operation may need a proper inventory application.

Apply the routine with your own records.

A SKU list, storage locations, opening counts and a consistent unit of measure. Start with a small working copy so the team can agree field meanings before adding its full record set.

Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.

This guide supports the stated manual workflow. It is not a substitute for your organisation’s approved procedures or professional advice where required.
