How to compare supplier quotations fairly

The cheapest unit price is not necessarily the lowest purchase cost. A quote can exclude delivery, have a shorter warranty or describe a different specification.

Set up the record

Put the same item and required quantity against every supplier. Record the model or specification exactly, including accessories and exclusions. Keep currencies separate until you have agreed a conversion basis.

Use it in the workflow

Check quote validity, stock availability, delivery terms and warranty responsibility before choosing. The decision record gives your approver somewhere to explain why a higher quote may still be the right choice.

Review and maintain

Reconfirm the selected quote before raising a purchase order. Save the source quotations with their dates. The workbook records your comparison; it does not check live prices or place supplier orders.

Apply the routine with your own records.

Supplier quotations, required specifications, quantities, freight terms and an approver. Start with a small working copy so the team can agree field meanings before adding its full record set.

Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.
