SFE WORKING GUIDES / OPERATIONS
Keep maintenance tasks and findings traceable
A maintenance plan needs more than a date. It should identify the asset, task, responsible team and the procedure that governs the work.

Set up the record
Record scheduled tasks from the appropriate manufacturer or approved procedure. Note the last completed date and next due date, and identify parts or access arrangements needed beforehand.
Use it in the workflow
In the service history, record what was actually done, the findings and unresolved defects. Keep the approval or sign-off evidence with the job. Changes to maintenance intervals should have an accountable decision.
Review and maintain
Review overdue tasks and repeated faults. These are administrative templates; they are not technical service instructions, safety training or permission to work on energised equipment.
Apply the routine with your own records.
An asset list, approved procedures, competent service personnel and task intervals. Start with a small working copy so the team can agree field meanings before adding its full record set.
Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.
This guide supports the stated manual workflow. It is not a substitute for your organisation’s approved procedures or professional advice where required.
