Make handover evidence part of delivery

Dispatch and acceptance are different events. A package can arrive while the customer is still waiting for an accessory, a configuration check or agreed documentation.

Set up the record

Record the order reference, items, quantities and relevant serials or batches. Note condition at dispatch and keep delivery evidence through your normal process. Confirm who is authorised to receive the goods or deliverables.

Use it in the workflow

Use the acceptance checklist against criteria agreed in the scope. Record open items with an owner and next action. Avoid marking a delivery complete simply because the courier has arrived.

Review and maintain

Keep the delivery record linked to the commercial documents. This pack does not issue courier labels, provide GPS tracking or replace contractual acceptance terms.

Apply the routine with your own records.

An order reference, item list, acceptance criteria and recipient details. Start with a small working copy so the team can agree field meanings before adding its full record set.

Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.

This guide supports the stated manual workflow. It is not a substitute for your organisation’s approved procedures or professional advice where required.
