Build a clear customer onboarding routine

The period after agreement is when customers need certainty about the next step. A welcome message should make the scope, required inputs and contact route easy to understand.

Set up the record

Start with the scope reference and main contact. List the inputs needed from the customer and who will check them. Set dates that reflect actual dependencies rather than an unqualified promise.

Use it in the workflow

Use the communication plan to schedule milestone messages. A useful welcome covers the purchased scope, next action, expected timeline and support route. Request access through an approved secure method, never a password in a shared sheet.

Review and maintain

Track missing inputs and explain their effect on delivery. The templates do not send emails, provision accounts or manage a customer portal.

Apply the routine with your own records.

An agreed scope, main contacts, input requirements and delivery milestones. Start with a small working copy so the team can agree field meanings before adding its full record set.

Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.

This guide supports the stated manual workflow. It is not a substitute for your organisation’s approved procedures or professional advice where required.
