Prepare customer records for a safer CRM import
Importing a spreadsheet directly into a CRM can carry duplicate contacts and inconsistent fields into the new system. Preparation should begin with the target requirements.

Set up the record
Work on a copy of the source records. Give each record a stable external identifier and document required fields. Check formats for telephone numbers and identifiers so spreadsheet software does not strip leading zeros.
Use it in the workflow
Use the duplicate review sheet to record proposed matches and decisions. Do not merge solely because names look alike. Keep consent or source information where it is relevant to your permitted use of the records.
Review and maintain
Test a small batch and reconcile the result before importing more. The pack does not contain customer data, connect to a CRM or perform the migration.
Apply the routine with your own records.
Your source export, target field requirements and a reviewer for ambiguous matches. Start with a small working copy so the team can agree field meanings before adding its full record set.
Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.
This guide supports the stated manual workflow. It is not a substitute for your organisation’s approved procedures or professional advice where required.
