Record backup coverage and test recovery

A backup job can finish successfully while recovery remains unproven. Planning should record what is protected and what evidence demonstrates that the data can be restored.

Set up the record

List each system, its owner, backup method, schedule and retention period. Record storage locations at an appropriate level without exposing credentials. Identify important data that is currently outside the routine.

Use it in the workflow

Use the restore-test sheet to plan an isolated recovery exercise. Agree a recovery target, record the start and finish, and check the restored content with its owner. Capture failures as actions with owners.

Review and maintain

Review changes in systems and data volume regularly. This pack documents your process; it does not perform backups, provide storage, encrypt data or guarantee recovery.

Apply the routine with your own records.

Your system inventory, backup settings, data owners and a safe test environment. Start with a small working copy so the team can agree field meanings before adding its full record set.

Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.

This guide supports the stated manual workflow. It is not a substitute for your organisation’s approved procedures or professional advice where required.
