Create an IT asset register people can maintain

An asset register should help you answer practical questions: where is the device, who is responsible for it and what happens when it needs repair?

Set up the record

Give each device a unique tag and record its model, serial, purchase date and warranty end. Use team or role assignments where individual names are unnecessary. Agree how moves and returns will be reported.

Use it in the workflow

Use the handover sheet when equipment changes hands. Note its condition and accessories, then keep any acceptance evidence with the record. A laptop without its charger is a different handover from a complete kit.

Review and maintain

Review devices that have moved, reached warranty expiry or become unavailable. Store passwords and recovery keys in a separate approved vault. This pack does not discover devices or enforce endpoint security.

Apply the routine with your own records.

An equipment list, asset labels, purchase records and a nominated register owner. Start with a small working copy so the team can agree field meanings before adding its full record set.

Keep a blank master, nominate an owner and decide when the records will be reviewed. If the workflow needs automatic validation, shared permissions or integration with another system, treat that as a separate software requirement.

This guide supports the stated manual workflow. It is not a substitute for your organisation’s approved procedures or professional advice where required.
