Delivery handover checklist
A clear record for the sender, runner and recipient. Use your browser’s Print option to print or save a PDF. No sign-in or personal information submission is needed.
1. Identify the delivery
Order / invoice reference
Delivery date and time (Malaysia time, MYT)
Sender / business
Recipient / business
Delivery address or agreed collection point
Runner reference / contact agreed for this delivery
2. Before leaving
- Match the order reference, item descriptions, quantities and delivery location.
- Record item or batch references only where needed. Note missing items before dispatch.
- Check visible packaging condition. Photograph existing damage clearly if relevant.
- Confirm who can receive the delivery and any agreed access or installation arrangements.
- Keep the original receipt or order record. Use copies for the runner where possible.
3. At the handover
- Check that you are at the agreed location and speaking to the intended recipient or their authorized representative.
- Compare the delivered quantity with the order together. Record any visible damage or disagreement neutrally.
- Ask permission before taking a photograph that includes a person or private premises. Prefer the package and relevant condition; avoid faces, identity documents and unrelated personal details.
- Record what was actually handed over and the time. Do not describe a delivery as accepted when acceptance is disputed or not confirmed.
- If installation or training was included, list what was completed, demonstrated and still outstanding.
- Record the agreed payment method and receipt reference if applicable. Never record card details or a banking password.
Recipient acknowledgement (name / initials if willingly provided)
Runner name / reference
4. Differences and next steps
Write observations, not assumptions: what was missing or visible, who will follow up, and the agreed date. If the recipient declines acknowledgement, record that fact without guessing why.
5. Close the loop
- Share the handover record with the appropriate parties through the agreed channel.
- Keep original photographs and their context. If a copy is cropped or annotated, retain the original separately.
- Keep evidence access limited to people handling this delivery. Agree a retention period and remove unnecessary copies.
- Follow up on outstanding work. Update the record when it is resolved.
